Version 4.7 Summary
147 New, 90 Fixes, and 60 Miscellaneous features
New Features - Version 4.7
 1. Etilize 2.0 UI redesign and enhancements. Now includes accessories, spec sheets, website links, and support for multiple part numbers for the same item. The Etilize panel is now available on both the Product Lookup window and the Quote WorkBook, making it easy to update existing items on existing quotes with updated Etilize information. Etilize information is no longer just displayed when searching Etilize on the Product Lookup window, the Etilize panel now displays when searching individual product databases including Autotask and ConnectWise products. When searching for Etilize Products from the Product Lookup, you can narrow down the results by Category, Sub-Category, Manufacturer, and you can also limit the results to only items carried by distributors that you have setup real-time pricing for. Pricing is now available from CDW, Newegg, Dell, and Amazon. Etilize product content is now supported for UK Customers. To top it all off the Etilize integration now boasts a 7x speed increase! [Build: 1]

 2. USA tax rate lookup by zip code is now included in our real-time module. Tax Rate information includes a breakdown of State, County, and City tax rates. This is a huge time-saver. No more going to the state's website to look them up manually. [Build: 1]

 3. Quotes can now require a deposit amount. This is particularly useful in conjunction with accepting a QuoteValet quote and then providing credit card payment for the deposit amount. The deposit amount can be a percent of the total, a fixed amount, based on a line item amount (like a subtotal), or of the sum of all line items matching up to 3 criteria. [Build: 1]

 4. QuoteValet 1.3. QuoteValet now accepts payments (deposits, progress payments, final payments, etc.) through over 80 payment gateways including Authorize.net, QuickBooks merchant services, PayPal, and Google checkout. Additionally, for QuickBooks users, payments received by QuoteValet can be imported as a Customer Payments in QuickBooks and automatically applied to the customer that made the payment. [Build: 1]

 5. QuoteValet 1.3. QuoteValet customer input integration. Customers can now enter information into fields on the QuoteValet page like CustomText fields from the DocumentHeader or DocumentItems. The customer can directly enter information into these fields or choose from lists. The customer input is then synched back into the quote in QuoteWerks. [Build: 1]

 6. For QuickBooks users, you can now create Purchase Orders in QuickBooks. Under the new Tools->Purchasing menu (formerly the Online Orders menu) you have access to all the Order items in QuoteWerks and can easily create QuickBooks Purchase Orders that contain items from multiple orders. Items that do not exist in QuickBooks will be created, and the QuickBooks Purchase Order number will be written back into the line items from the orders. Additionally if using the Online Ordering feature of the real-time module, after the items are ordered you will be asked if you want to create a Purchase Order in QuickBooks for the items you just ordered electronically. [Build: 1]

 7. For QuickBooks users, when QuoteWerks creates item definitions in QuickBooks, you can now map fields from the QuoteWerks Document Items to the QuickBooks Item Definition custom fields. This is supported in QuickBooks 2007 and higher. [Build: 1]

 8. When exporting Invoices/Estimates/SalesOrders/PurchaseOrders to QuickBooks, you can now map fields from the QuoteWerks Document Header to QuickBooks Invoice/Estimate/SalesOrder/PurchaseOrder level Custom fields. This is supported in QuickBooks 2007 and higher. [Build: 1]

 9. When exporting Invoices/Estimates/SalesOrders/PurchaseOrders to QuickBooks, you can now map columns/fields from the Document Items tab to the Custom field columns of the line items on the QuickBooks Invoice/Estimate/SalesOrder/PurchaseOrder. This is supported in QuickBooks 2007 and higher. [Build: 1]

 10. For QuickBooks users, QuickBooks custom item fields are now displayed in the QuickBooks product data source and can be mapped to Document Item columns. [Build: 1]

 11. When QuoteWerks is creating a new QuickBooks item, there is now an option to specify the Preferred Vendor for this new QuickBooks item. [Build: 1]

 12. For QuickBooks users, when creating Inventory and Non-Inventory items, the manufacturer part number from QuoteWerks populates the ManufacturerPartNumber in the QuickBooks Item definition for QuickBooks (SDK 7.0), QuickBooks USA 2008 and higher, QuickBooks AU/UK 2009 and higher. [Build: 1]

 13. For QuickBooks users, custom fields for the QuickBooks customer are now all displayed in the results when searching for a QuickBooks contact. Also the QuickBooks customer custom fields can be retrieved into the quote using the DataLink feature. [Build: 1]

 14. Added new line type of Summary Line. A Summary Line is similar to a subtotal in that it displays a totaled amount that is not included in the quote calculations. They can be positioned anywhere on the quote and will SUM up all line items matching up to 3 criteria. Very useful for summarizing the different categories of items on the quote like total hardware, total software, total service, etc. [Build: 1]

 15. Formulas for Product/Service type line items can now include SUMMING where all line items matching up to 3 criteria are summed. [Build: 1]

 16. Added new Line Attribute "Hide Quantity". For items that always have a quantity of 1 like maintenance fees, setting this attribute will hide that quantity from displaying on the printed quote or on the QuoteValet quote. [Build: 1]

 17. Added new "Remove Non-Selected Optional Items" option on the Convert to Order window. [Build: 1]

 18. The ShippingCost and ShippingAmount fields are now available in the DataLink feature. [Build: 1]

By default the standard values like DocumentItems->UnitPrice are cleared for particular line item types or when attributes like "HidePrice" are set. These new fields enable you to gain access to their underlying values. [Build: 1]

 21. The macro DocumentHeaders->&SalesRepMobilePhone is now available in the layout designer and on cover pages. [Build: 1]

 22. Added new macro fields &DH_&SoldToInLineAddress, &DH_&ShipToInLineAddress, &DH_&BillToInLineAddress. [Build: 1]

 23. Formula details for line items are now displayed in the status bar. [Build: 1]

 27. On the SoldTo/ShipTo tab, the "Display contact in Contact Manager" button now works with GoldMine! [Build: 1.01]

 28. If you attempt to upload a quote to QuoteValet for customer review, and you selected a sales order layout, you will now receive a warning that your upload may contain cost information. [Build: 1.01]

 29. On QuoteValet Dashboard Payments tab, added new checkbox "Include previously downloaded transactions". [Build: 1.02]

 30. For QuoteValet users, on the standard customer facing template, there is now a thumbnail image of the attached PDF file automatically displayed! [Build: 2]

 31. For QuoteValet users, on customer facing templates, rather than showing the line items on the quote in the details section, there is a new option to alternatively display a fully rasterized version of the attached PDF right in the webpage. This is useful for customers that do not need their customers to change options and would prefer just to present the PDF version of the quote to their customer and then have them electronically sign. [Build: 2]

 32. Maximizer 12 is now supported! [Build: 2]

 33. Ingram Micro Netherlands Real-time Pricing & Availability is now supported! [Build: 2]

 34. For QuoteValet users, when configuring QuoteValet to accept payments you can now specify which card types you accept (VISA, Master Card, American Express and/or Discover). This can be specified when editing the payment gateway details. [Build: 2]

 35. If QuoteValet accepted credit card payment for an order that had recurring items on it, you will now be able to retrieve the credit cards details (in a PCI compliant manner) from the payment (from Payments tab on QuoteValet Dashboard or QuoteValet tab in the quote) necessary to bill your customers credit card for the recurring charges each month/quarter, etc. Just right click on the payment entry and choose "Copy Payment Details" which will copy the information into the Windows Clipboard. Along with this feature are two new security rights. If the security right "CannotViewFullCreditCardDetails" is set then the user will not be able to view/copy the full credit card details. If the security right "CannotViewOthersFullCreditCardDetails" is set then the user will not be able to view/copy the full credit card details from other sales reps orders. [Build: 2]

 36. For QuoteValet users, when making payments by Proxy, you can now specify the payment method like Check, Wire Transfer or VISA, etc for times when the customer just calls in directly with payment. This is particularly useful when exporting these payments from QuoteValet to QuickBooks. You can also specify the Proxy Payment Reference, useful when receiving a check payment to enter for example "ck#1234". [Build: 2]

 37. For QuickBooks users, when the user logged into QuickBooks has QuickBooks Security Rights for "Sensitive Financial Data" and "Sensitive Accounting Activity" set to "No Access", the QuickBooks integration will now work under those settings. [Build: 2]

 38. For QuickBooks users, when exporting QuoteValet payments, you can now setup mappings that map the QuoteValet payment methods to different payment method and deposit accounts in QuickBooks. For example, while QuoteValet sends over VISA or MC, in QuickBooks, you might want the payment method for both of those to simply be "Credit Card". When accepting a payment when PayPal was used, you might want that payment to be deposited into a different account than where the regular credit card payments are deposited. The mappings become even more important when accepting check or wire transfer payments by proxy as you will typically want to deposit those payments into different accounts, for example, a check would go into "Undeposited Funds", whereas a wire transfer would be deposited directly into the bank account. [Build: 2]

 39. For QuickBooks users, you can now export a QuoteValet payment to QuickBooks without first exporting the quote/order/invoice to QuickBooks. [Build: 2]

 40. For ConnectWise users, from the Save window, you can now create 'one-off' activities in ConnectWise. [Build: 2]

 44. For QuickBooks users, when exporting payments received by QuoteValet into QuickBooks, the list of payments can now be filtered by date range and also includes a checkbox for "Include previously exported payments". [Build: 2]

 57. On the Open Document window, the document date can now be specified by selecting "Today", "This Week", etc. [Build: 2]

 58. On the Purchasing window, there is now a right click menu "Manually enter PO Number". This is useful when you have already created the PO for the item elsewhere, as setting the PO number removes it from the list of items that need to be ordered. Optionally you can also specify the PO date that will be written into the Order Date column for each line item selected. [Build: 2]

 67. For QuickBooks users, added new "Auto Select Preferred Vendor" option on the Mappings.Items tab on the QuickBooks setup window. When emailing a quote to your customer as a PDF file, the PDF file will automatically be attached. When uploading a quote to QuoteValet and Emailing the customer the notification, the PDF file of the quote will automatically be attached. You can manually attach a file to your CRM by right clicking on a file in the Links tab, on the Print Preview window, and also from the Print window Save as PDF option. This makes the PDF version of the quote viewable by any colleagues that have access to the CRM record without having to have QuoteWerks installed. Particularly useful for the service or technical side of the business having access to the details of the job that was quoted. This new feature is turned on by default and can be controlled with the setting "[]Automatically attach PDF sent to customer by E-Mail or QuoteValet to the CRM Account or Opportunity." located on the Print tab of the Tools->Options menu. When using this feature with Autotask, ConnectWise, salesforce.com, you need to attach the quote to an opportunity first. Once the quote is associated with the CRM opportunity, QuoteWerks knows to automatically attach the PDF to the CRM Opportunity. When using this feature with ACT! 2005+, GoldMine, Outlook, Outlook BCM, MS CRM, Maximizer 10+, SugarCRM, and SalesLogix you need to link the quote to a CRM contact first. Once the quote is linked with the CRM contact, QuoteWerks knows to automatically attach the PDF to the CRM contact. [Build: 4]

 72. You can now manually associate a picture with a line item in the quote. Previously this would happen only through Etilize or through the picture specified in the product Definition in a product database. This new feature is useful for attaching "one-off" pictures to an item in the quote. There is a "Show/Hide Set Picture Panel" button on the Quote WorkBook. This will display a new panel making it easy to see the current picture and associate a picture with the item. You can also drag a picture file onto the [Select Picture] button. [Build: 4]

 75. The web browser "quotewerks:" protocol handler introduced with QuoteValet as a way to open QuoteWerks quotes using a URL. Now it has been updated to support all the functionality supported by the QuoteWerks Web Connector, thereby eliminating the need for the QuoteWerks Web Connector. This is particularly beneficial for terminal service users because the WebConnector would need to be setup for each terminal server user on a different manually specified port number, whereas none of this setup will now be required with the new "quotewerks:" protocol handler. The Web Connector is used mostly in conjunction with web based CRM packages like salesforce.com and SugarCRM. It can also be used with any system that can launch a Web Link (URL). Using this feature it is possible to automate QuoteWerks creating a new quote and populating it with information from the web url. To modify existing web urls to work with the new "quotewerks:" protocol handler, simply change "http://localhost:1001/" to "quotewerks://" [Build: 4]

 76. On the QuoteValet Dashboard, when it is first loaded, it now defaults to only showing activity for the logged in sales rep vs All activity. This results in faster load up time. Right from your iPad (or HTML5 compatible tablet), you can create a quote for a customer onsite and email it to them while you are still onsite. Particularly useful for quick small orders. Once created, the QuoteValet engine takes over, allowing the customer to choose options, electronically sign, and pay by credit card. [Build: 6]

 85. For QuoteValet Mobile users, QuoteWerks templates can now be uploaded to QuoteValet by choosing the "Save Template to QuoteValet Mobile" option on the File->Save As Template window. For existing templates you can choose the "Save Template to QuoteValet Mobile" option on the File->Save window. The makes the template available on QuoteValet Mobile. [Build: 6]

 86. New Inbox tab on the QuoteValet Dashboard. On the Inbox tab you will Only see new QuoteValet activity notifications. This is an improvement over the Reporting tab which just shows all activity. Also, with the new inbox notification, the notification like a customer acceptance will stay in your inbox until you are ready to dismiss it, preventing you from accidentally losing track of the acceptance. Each inbox notification displays an icon indicating what type of activity has happened since you last checked. [Build: 6]

 87. For QuoteValet users, on the QuoteValet Dashboard, the reporting has been enhanced. The Manage tab has been renamed to Reporting, and now there are some new reports. There are separate "Customer Activity" and "Internal Activity" reports. The Expiring/Expired reports have been separated into "Expiring" and "Expired" for more effect use. A new report "Uploaded for Customer Acceptance" is useful for knowing how many quotes where uploaded for customer acceptance during any given date range. Another new report is "Accepted (with balance due)" useful in tracking down those customers that have not paid yet. Another related new report is the "Payment Received" report. Lastly to pair with the new QuoteValet Mobile functionality there is a new "QuoteValet Mobile Documents" report. The QuoteValet document activity history now is color coded so that Customer activity is different than Sales Rep activity. You can now also filter documents by "Doc Name contains", "Company starts with", and Source (QuoteWerks or QuoteValet Mobile). [Build: 6]

Duplicates in the clipboard data will be ignored and if the entry already exists in the F2 Lookup List a duplicate will not be imported.  126. When sending email, there is now a new "Hide TO Recipients from each other" option and you can also address to the email to recipients by selecting vendor email addresses from the Utilities->Vendors list. These seemingly innocuous features are very powerful. With these you can now create an RFQ and choose multiple vendors to email the same RFQ to and the email will be sent to them individually addressed to each of them separately from you, and they will not see the other vendors that the RFQ has been emailed to. This is a real advantage over using Outlook to do this. If you send this kind of email from Outlook it will be sent to "undisclosed recipients" rather than an individual person. The workaround most people use is to send the email to themselves from themselves and BCC the vendor. This does not look professional and is often caught by spam filters. Of course, in Outlook you can just manually create a separate email for each vendor and attach the PDF RFQ, but that is a lot of work that this feature now eliminates. [Build: 8]

 127. For GoldMine users, when using the new "Hide TO Recipients from each other" option, each sent email is logged in GoldMine (if the email address is found in GoldMine) as if it was sent from GoldMine. [Build: 8]

 128. On the Send Email window, a count of the number of email recipients in the TO, CC, and BCC boxes is now displayed next to their respective label. [Build: 8]

 129. On the Send Email window, you can now paste a list of email addresses from the Windows Clipboard into the send email TO, CC, and BCC recipient text boxes. Simply copy the list of email addresses into the Windows Clipboard, then hold down the SHIFT key while clicking on the [Select Recipients] button. This will take any list of email addresses that are each on their own line and convert them into a comma delimited list of recipients and paste into the recipient box.
